Building Operational & Financial Tracking Systems
Business Challenge
Managing multiple international digital projects required tracking completed work, working hours, expected earnings, incoming payments, and outstanding balances.
Operations involved numerous working accounts, different projects, and multiple payment channels.
As the business expanded, keeping financial and operational information organized became increasingly important.
My Role
I designed, maintained, and improved spreadsheet-based systems for tracking project activity and financial transactions.
I was responsible for monitoring operational records, calculating earnings, comparing expected and received payments, and investigating discrepancies.
Solution A — Work & Invoice Tracking
I maintained a monthly tracking system that organized:
- Working account identifiers
- Project categories
- Recorded working hours
- Calculated project earnings
- Approval and payment statuses
- Payment channels
The system made it possible to track financial information across multiple projects and working accounts.
It supported operational reporting, monitoring of outstanding amounts, and investigation of discrepancies.

Solution B — International Payment Tracking & Reconciliation
I maintained a separate financial tracking system for international incoming payments, including monitoring delayed and unsuccessful payouts associated with working accounts.
The records included:
- Expected payment amounts in USD
- Actual incoming payments and transaction dates
- Currency conversions using recorded exchange rates
- Identification of payments that were not successfully processed
- Tracking of subsequent catch-up payments for previously unpaid amounts
- Reconciliation of expected earnings against actual receipts
- Monitoring outstanding balances and payment history
When an expected payout failed, I tracked the outstanding amount and recorded any subsequent payment received to cover it. This allowed me to distinguish regular incoming payments from delayed compensation for previously unsuccessful payouts.
The system helped identify payment discrepancies, monitor unresolved amounts, and maintain accurate financial records across multiple international projects.

Outcome
Maintained structured financial records across several years of international digital operations.
Together with my invoice and compensation tracking systems, these records supported financial monitoring of more than $900,000 in project earnings between 2021 and 2026.
Improved visibility into incoming transactions, outstanding balances, delayed payments, and financial discrepancies.
